Keep one fleet list
Start with a single list of every vehicle: registration, ownership (owned or rental), status, last service, current assignment and notes. Count the totals that matter each morning: active, out of service, rentals and owned. If your list lives in a spreadsheet today, import it rather than retyping it; FLO accepts an .xlsx or .csv with a preview before anything is saved.
Use clear vehicle statuses
A van is either ready to go out or it isn't. Mark vans active, in maintenance, grounded or in service, and assign only ready vans on the timesheet. Let drivers report problems from the road with photos so issues reach the right person the same day.
Track equipment by kind
Phones, power banks, gas cards, uniforms and safety gear each need slightly different details. Track them separately, with assigned and available counts you can check at any moment during the day.
- Hand out phones and power banks on the daily timesheet, so the assignment is recorded as it happens.
- Record swaps as transfers to another driver, not as edits.
- Show only the last four digits of gas cards on screen.
- At the end of the day, unassign items or mark everything available in one step.
Keep the hand-off history
The question that matters when something goes missing is 'who had it last, and when?' An assignment history for every van and device answers it in seconds, and makes it far less likely that equipment walks off in the first place.
Common questions
- Can FLO show who has a phone right now?
- Yes. Every item in FLO's equipment inventory shows who it's assigned to, with assigned and available counts.
- Can we import our fleet from a spreadsheet?
- Yes. Upload an .xlsx or .csv, check the preview, and confirm to add the vehicles.
- Does FLO connect to telematics?
- No. Vehicle information is entered or imported by your team.
